Why each field is there
The exact period. This is the whole point. A dispute about a rent advance is almost always a dispute about what period it covered. Start date and end date, written out.
The monthly rate and the number of months. So the arithmetic is visible and cannot be re-argued.
The property, with the digital address. So the receipt cannot be attached to a different unit. — GhanaPostGPS
Ghana Card numbers, both sides. Identifies exactly who paid and who received.
Capacity. If you are paying an agent or an attorney rather than the landlord, that must be on the record — along with the authority they are acting under.
The payment method and reference. A bank or MoMo reference is independent evidence. Cash leaves you relying on the paper alone, which is one of several reasons not to pay a large advance in cash.
A witness. Costs nothing, and materially strengthens the document.
Practical advice
- Get the receipt at the moment of payment, not “next week”
- Photograph it immediately and store the image somewhere that is not your phone
- Keep the original somewhere dry and safe
- Pay traceably. Bank transfer or MoMo, so there is a second record
- Check the receipt matches the tenancy agreement — same property, same period, same amount
If the person receiving the money is not the landlord
